How We Evaluate and Select Subcontractors for Collaboration

At Graphein, we believe that strong partnerships are built on trust, expertise, and shared values. To ensure successful collaborations, we follow a structured evaluation process when selecting geodetic engineering firms for subcontracting. This allows us to work with partners who are aligned with our standards of precision, professionalism, and innovation.

1. Initial Application & Company Profile Submission

✔ Interested subcontractors submit their company profile, portfolio of past projects, and technical capabilities.
✔ We review experience in topographic engineering, equipment used, and project references.
✔ A short introductory call is scheduled to understand the firm’s availability, expertise, and business goals.

2. Technical & Operational Evaluation

✔ We assess the firm’s surveying techniques, use of technology (total stations, GNSS, LiDAR), and ability to deliver accurate geospatial data.
✔ We review previous CAD, GIS, or BIM deliverables to ensure compatibility with Graphein’s workflows.
✔ If needed, a test project or pilot survey is assigned to evaluate precision, turnaround time, and reporting standards.

3. Compliance & Quality Assurance Check

✔ Verification of certifications, legal compliance, and adherence to national topographic regulations.
✔ Assessment of safety protocols, risk management policies, and insurance coverage.
✔ Review of internal workflows, data accuracy standards, and quality control processes.

4. Business & Financial Evaluation

✔ Confirmation of financial stability and ability to sustain long-term collaboration.
✔ Discussion on pricing models, contract flexibility, and invoicing terms.
✔ Assessment of capacity to scale operations based on project requirements.

5. Collaboration Agreement & Onboarding

✔ If all previous steps are successfully completed, we formalize the collaboration through a clear and transparent partnership agreement.
✔ We align on roles, responsibilities, communication protocols, and reporting structures to ensure smooth project execution.
✔ The subcontractor is onboarded into Graphein’s digital workflows, receiving guidance on project expectations, deliverables, and best practices.

6. Pilot Project & Performance Review

✔ The subcontractor is assigned an initial project to assess workflow integration, data accuracy, and adherence to deadlines.
✔ Regular check-ins are conducted to identify challenges, optimize processes, and provide technical feedback.
✔ A formal performance review follows, ensuring the subcontractor meets Graphein’s quality and efficiency standards.

7. Long-Term Collaboration & Growth Opportunities

✔ Upon successful completion of the pilot phase, the subcontractor becomes a trusted long-term partner, gaining access to a steady stream of projects.
✔ Ongoing support, training, and process optimization are provided to enhance technical capabilities and operational efficiency.
✔ As the partnership grows, subcontractors may expand their role, take on larger projects, and benefit from new technological advancements and methodologies introduced by Graphein.
